Trade Stands

The Steam Fair has always attracted a wide range of trade stands from local produce through to tools and vehicle parts as well as a wide range of businesses promoting themselves.

So whether you are looking for an unusual present or just an Ice Cream whilst you look round you will find a lot to see and do.

Don't forget the fair ground attractions for the children as well as the Bar and evening entertainment.

If you are looking for availability for your stand either give the Events Office a call or fill in the downloadable forms.

Single day bookings cannot be accepted.

Please Note:- Large demand for sites at previous events, has shown that stall holders should book their sites as early as possible. Sites are available on a first come basis your booking will be void if payment is not honoured.
In the event of circumstances beyond our control, trade stands may have to be moved from their
allocated positions.
Admittance to the Rally Field will be strictly on a prepayment basis.
Please complete the Trade Stand booking form and return as soon as possible to aid space allocation to avoid disappointment.

Schedule of Conditions applying to all traders, caterers and craft exhibitors

1. Toulson Promotions reserves the right at all times to refuse admittance to any Trade Stand Exhibitor, Trader, Caterer or their staff.
2. Admittance to the Event Field will be strictly on a pre-payment basis: Entry will be refused if this instruction is not complied with.
3. All admission of Trade Stands, Traders, caterers and their staff will be by a special Passes issued by Toulson Promotions and valid for the event days only. Only vehicles displaying the appropriate passes will be allowed access on to the site, passes will be issued and only holders of these passes will be allowed access through the gates. The gates will be closed from 23.00hrs until 07.00hrs the only exeption being emergency vehicles.
4. Acceptance by the Toulson Promotions of a firm reservation or pre-payment of rental in no way confers any rights whatsoever to the
Renting Trader and caterer and in no way modifies these Conditions.
5. Cancellation of pre-payment bookings will be reviewed upon the merits of each case.
6. The site must be left in a clean and tidy condition. Glass, tins, string, plastic wrappings and all other refuse must be
placed in the containers or skips or placed in other suitable containers for ease of disposal.
7. Mock auctions by any trader will not be permitted. Traders in breach of this condition will be expelled from the
Rally-Field.
8. All Trade Stand exhibitors and caterers must follow the instructions issued by Toulson Promotions or their delegated representatives.
9. All Traders and caterers must be covered for public liability and products liability insurance and will indemnify Toulson Promotions for any such claims for loss, damage or injury arising from any incident howsoever caused.
10. All Traders and caterers must have adequate fire fighting equipment which must be available for inspection by the Safety Officer.
11. Traders and caterers may only sell items specified on their booking form.
12. Copyright - The words 'Barnard Castle Steam Fair' and logo of Toulson Promotions are copyright and may not be used without prior written consent of Toulson Promotions.
13. No sub-letting of the allocated sites is permitted.
14. The use of Public Address systems is forbidden.
15. All dogs must be kept on a leash at all times and be under proper control.
16. The allocation of sites and positioning of Stand space will be entirely at the discretion of Toulson Promotions, although every endeavour will be made to meet any request made by traders and caterers and regarding the position of his stand.
(a) Traders and caterers booking open space must apply and pay for sufficient space for all stays or guy-ropes required for any building, tent or caravan to be erected on the space.
(b) Boundaries of sites will be marked and in no circumstances will traders and caterers be allowed to occupy a larger space than that allocated to them.
(c) Traders and caterers staff must confine their sales activities to the area of their stand and must not use the avenues to solicit business.
17. All electrical generators, wiring and appliances should have a current inspection certificate in accordance with the I.E.E. Regulations and these will be inspected by the Society's Safety Officer who has the authority to prohibit the use of unsafe electrical generators, wiring and appliances.
18. Traders are not permitted to sell any item which issues a projectile ie. crossbows, bows and arrows. Guns, replica guns, hand guns, and weapons are not permitted to be sold.
19. All traders should acquaint themselves with Current Legislation and ensure that their activities are carried out in accordance with the Statutory Provisions.
20. Any trader who is in contravention of these conditions will not be permitted to trade and will be removed from the Rally field with no recompense.
21. The riding of cycles is forbidden and a 5 m.p.h. speed limit is in force throughout the event.
22. In the event of a dispute the Event Organiser's decision is final.

Sites will be allocated on a first come basis & incompleted forms cannot be processed.
Your immediate reply with the remittance in full should ensure site reservation. Toulson Promotions reserves the right to refuse a site booking.
Crossed cheques to be made payable to Barnard Castle Steam Fair.
Declaration: I declare that I hold public liability insurance and product liability insurance and I agree to produce documents of proof of insurance if requested by the Event Organiser or Safety Officer.
I understand that steam engines, mechanical organs and other sources of musical entertainment will be present at the event, and I agree to comply with the schedule of conditions which I have received.
